Your privacy on ITMedic's pages

The short version: we ask only for what we need to answer you, we use it to answer you, and we never sell it. And please never put patient, case or personnel details, or passwords, into any of our pages.

What this covers

This notice is from ITMedic (Green IT Consulting, LLC) of Snoqualmie, Washington. It covers our pages on agents.itmedic.ai: the Copilot Readiness Check, the Public Safety IT Readiness Score, the AI Impact Plan, Where Does It Hurt?, the two-minute tools, the Copilot Credits planner, What's open now, the Jump Bag, and the pages about how we work.

Our website at www.itmedic.ai has its own privacy policy. Work we do for a client is covered by that client's agreement with us, not by this page.

Reading and the tools Analytics, if you accept When you send us something Who handles it for us What we never do How long we keep it Your choices

If you just read, or use a tool

The two-minute tools

What you pick, tick or type in a two-minute tool stays in your browser and is gone when you reload. Nothing is sent to us unless you choose to email us the result yourself, from your own mail program.

The Copilot Credits planner works the same way until you save or print your plan with its button: then it sends us your answers, as below describes.

A count of visits

Our server counts the pages it serves, for every visitor, whatever you choose in the cookie notice: how many times each page was opened each day, and whether the visit came from another website or one of our campaign links. To tell visitors apart within a day it combines your IP address and browser type under a key that is made fresh each day, held only in memory and then thrown away. It keeps only the day's totals, for about 13 months. It keeps no IP address and sets nothing on your device.

Taps on our booking, phone and email links

When you tap one of those links, we count the tap: which kind of link, on which page. Nothing about you is kept.

Fonts from Google

Most of these pages load their typefaces from Google Fonts, so your browser asks Google's servers for them when the page opens, as it does on many websites. Google receives your IP address and browser details to send them. Our pages about how we work use their own fonts.

Analytics, only if you click Accept

Microsoft Clarity, and Google Analytics where it's switched on

If you accept the cookie notice, we load Microsoft Clarity, which records how these pages are used, including replays of visits (where people click, scroll and stop), so we can see where people get stuck. Where Google Analytics is switched on, the notice names it too: it always lists exactly what Accept turns on, on the page you're on. Our tools and forms also tell Clarity when a step is finished or a button is pressed, by name only, never what you picked or typed. Decline, and neither loads.

Our own visitor tag

If you accept, we set one small first-party cookie: a random tag, kept for a year, that lets us count visitors rather than page loads. No name, no tracking on other websites. The days it was counted are kept for about two months, then deleted.

An approximate town

If you accept, your IP address goes to an outside lookup service (ipwho.is) that turns it into a town. We keep only the town, its region and country, and a point near its middle against your tag, never the IP address, and that record expires 90 days after your last visit. Totals by town, never who, appear on a public map of where our visitors come from.

Changing your mind

Decline, or change your choice later, and the tag is removed and the days and town kept against it are deleted at once. Your choice applies to every page on agents.itmedic.ai and lasts a year.

When you send us something

The Public Safety IT Readiness Score

Your score is worked out in your browser. Only if you ask for the written copy do we receive your answers, your organization, your role, its size, what you pay Microsoft for, your name and your work email. They are stored on ITMedic's server. Ted gets an alert email with your score and contact details, not your answers, and sends the written copy from his own mailbox.

The AI Impact Plan

We receive your answers, your organization, role and size, what you pay Microsoft for, your name and work email, and your website if you give it. They are stored on ITMedic's server, and Ted gets an alert email with all of them.

When Ted chooses to draft your plan, your first name, organization, website and answers, never your email, go to Anthropic's Claude, which writes the draft. The drafter also looks at your website and searches your organization's name on the web. Your request and the draft are kept in ITMedic's Microsoft 365, where the plans are built, and Ted reads, edits and signs the plan before it is sent to you.

The plan reaches you as a link, and anyone you forward that link to can open the plan too, so treat it like the document itself.

Where Does It Hurt?

When you press Find my Splinters, your description is sent to Anthropic's Claude, which matches it to the problems in our libraries. Our server does not keep the description from that step.

If you download or copy a care report, we keep a copy of that report with its reference number: your Splinters, the one-line summary, the short phrases it quotes from your description, and your organization if you typed it. Ted gets an alert about it.

If you ask for the full kit, we receive your name, agency, role, work email and your description. They are stored on ITMedic's server, Ted gets an alert email with all of them, and he sends the kit from his own mailbox.

The Copilot Credits planner

Your plan is worked out in your browser. When you save or print it with the planner's button, we receive the answers that shape it: how you buy Microsoft 365, your numbers and choices, the name of the group, and your agency and its kind if you typed them. Never the names you typed for alerts and requests, and never your own name or email, which the planner doesn't ask for. Ted gets an alert email with them and your plan's reference number. Our server keeps no copy, and nothing is added to our contact record.

To print your plan without sending anything, use Print it without sending anything, under the button.

Seven questions for your vendor

When you send a vendor the seven questions, we receive your name, work email, agency and its kind, the vendor's name, the agent or product being offered, and the line about what it would do. They are stored on ITMedic's server, and Ted gets an alert email with all of them and with both links: the vendor's and yours. Your vendor sees your agency's name and what the agent is for, never your email.

When the vendor answers, we receive their name, company and work email, their seven answers and the notes beside them. They are stored with your request, scored for you, and Ted gets an alert email with them. The Word copy is drawn from them each time you ask for it; no other copy is kept.

Booking the Readiness Check, or a call

Our booking pages are Microsoft Bookings. What you enter there goes to ITMedic's Microsoft 365 calendar, under Microsoft's terms for Bookings.

Our own record of who we're talking with

When you send a form, our contact record keeps your name, your organization and which form you sent. It never keeps your email or phone number.

Who handles it for us

These services handle what's described above on our behalf, and only to do that job for us:

  • Microsoft: hosting for these pages and our server (Azure), our contact record (Azure SQL), our email, Teams, SharePoint, Power Automate and Bookings (Microsoft 365), and Clarity, if you accept.
  • Anthropic: Claude, for the Where Does It Hurt? read and AI Impact Plan drafts.
  • Google: the fonts on most of these pages, and Analytics where it's switched on, if you accept.
  • ipwho.is: the town lookup, if you accept.

What we never do

Never sell it

Not to advertisers, not to data brokers, not to anyone, and we don't share it for anyone else's own use.

No advertising trackers

No advertising pixels, no cross-site tracking, no retargeting.

Never ask for records

Our pages never ask for patient, case or incident details, personnel records, passwords, or anything from inside your systems, and none has a place to upload a file. Please leave them out of anything you type.

How long we keep it

  • Visit counts: daily totals for about 13 months.
  • Our visitor tag, if you accepted: the cookie lasts a year; the days it was counted, about two months; the town, 90 days after your last visit.
  • What you send in a form, a vendor's answers to the seven questions, and copies of care reports and kits: deleted from our server automatically 90 days after we last answered you, or 90 days after you sent it if we haven't, unless you become a client. For the seven questions, the vendor's answer is our answer: the request and the answers go 90 days after the vendor answers.
  • Copilot Credits plans: our server keeps none. The alert Ted gets is covered by the next line.
  • Copies that have reached our email and Microsoft 365 (the alert we get when you send a form or save a Copilot Credits plan, and AI Impact Plan drafts): we delete them on request. Email tgreen@itmedic.ai and we'll delete what you sent from everywhere we keep it within 30 days; copies in our server's backups go as those backups expire.
  • Our contact record (your name and organization): kept until you ask us to delete it.

Your choices, and reaching us

See it, correct it, delete it

Wherever you live, you can ask what we hold about you, ask us to correct it, or ask us to delete it. Email tgreen@itmedic.ai and we'll answer within 30 days.
